B2B Appointment Setting Services: Choose Your Reps, Pay Per Qualified Meeting

B2B appointment setting services help companies generate qualified sales meetings with potential customers. Instead of having account executives spend their time prospecting and cold calling, businesses use dedicated appointment setters to reach decision-makers, qualify prospects, and schedule meetings with their sales teams.

Choose your repsYou review and approve the representatives who work on your campaign.
Define what qualifiesEvery requirement is confirmed on a recorded call before a meeting is booked.
Pay per qualified meetingSet your own price, from $150 to $2,500, for meetings that take place and aren't disputed.

But not all appointment setting services operate the same way.

Traditional agencies typically assign a team and charge a monthly retainer. You may have limited visibility into who is making calls, how prospects are being qualified, or what actually happens during conversations.

Intentional Outreach takes a different approach.

We operate a marketplace of vetted phone representatives for B2B companies. You review and approve the representatives who work on your campaign, define exactly what qualifies as a meeting before calling begins, and set your own price per qualified meeting.

You get visibility into the people making calls, the qualification process, and campaign activity. And you only pay for qualified meetings that actually take place and aren't disputed.

What our B2B appointment setting services include

Our platform combines vetted sales representatives, campaign-specific training, recorded calls, and performance-based meeting pricing.

Here's what you get:

Choose the representatives who call for your business

You aren't assigned an anonymous team.

Representatives apply to your campaign by submitting recorded answers to your audition questions and completing a quiz about your product or service.

You can review their experience, audition responses, quiz results, performance level, and track record before deciding who you want working on your campaign.

Your selected representatives then receive final approval from our team before they begin calling.

Define exactly what qualifies as a meeting

Before a representative makes a call, you establish the requirements a prospect must meet.

You define your target buyer, required qualifications, and the questions representatives must ask to confirm each requirement.

Every required qualification must be confirmed on a recorded call before a meeting can be booked.

This gives your sales team a clear standard for what should appear on its calendar.

Pay per qualified meeting

You choose your own price, from $150 to $2,500 per qualified meeting.

There is also a published monthly platform fee of $500 plus $250 per active representative.

You don't pay for dialing time or hourly activity. Meeting charges apply only when a qualified meeting takes place and isn't disputed.

See campaign activity and call recordings

You have visibility into the calling operation through the platform.

This includes:

  • Calling dialer.
  • Recorded calls.
  • Campaign scripts.
  • Qualification criteria.
  • Representative activity.
  • Campaign reporting.

Every call is recorded, giving you a way to review conversations and understand how prospects are being approached.

Meetings go directly onto your calendar

Representatives call US prospects in English and book qualified meetings directly onto your calendar.

Each meeting includes the prospect's contact information, the qualifications confirmed during the call, and the representative's notes.

Your account executives can spend more time conducting sales conversations instead of filling their calendars through cold prospecting.

How our B2B appointment setting process works

Launching a campaign involves more than uploading a list and asking someone to start dialing. We build the campaign around your offer, ideal customer profile, sales process, and qualification requirements.

Here's how it works.

01Confirm campaign fit

We start by understanding your business and sales process.

You'll provide information about:
What your company sells.
Your current revenue and customer acquisition cost.
Your close rate and average deal size.
Who takes your sales meetings.
Your CRM.
Your target meeting volume.

The strongest fit is a B2B company with an established offer, existing revenue, and someone available to take qualified discovery calls or demos.

If you don't know your acquisition cost or need help working through the numbers, we can review the campaign requirements before launch.

02Define your ideal customer profile

Next, we establish exactly who representatives should contact.

You define:

  • Target industries.
  • Company sizes.
  • Buyer roles and job titles.
  • Decision-maker seniority.
  • Geographic targeting.
  • Specific companies that must never be contacted.

Campaigns can target prospects across the United States, with geographic targeting down to individual states or time zones.

The more clearly you define your ideal customer profile, the easier it is to build a campaign around the right prospects.

03Build your sales playbook

Representatives need to understand your business before they can communicate its value effectively.

Your sales playbook covers:

  • Product or service overview.
  • Ideal buyer personas.
  • Customer pain points.
  • Competitors and differentiators.
  • Common objections.
  • Important messaging guidelines.
  • Things representatives should never say.

We can draft portions of the playbook using information from your website. You can then review and edit it before training begins.

04Establish meeting qualification criteria

This is one of the most important parts of the entire process.

You decide what a qualified meeting means for your business.

For each requirement, you provide a corresponding question the representative must ask to confirm it.

For example, your requirements might include:
The prospect works at a company within your target industry.
The company meets your minimum size requirements.
The prospect is a decision-maker or relevant stakeholder.
The prospect has a specific business need.
The prospect agrees to a sales conversation.

You can also establish walk-away rules so representatives know when to end a conversation instead of trying to force a booking.

By default, every meeting requires a decision-maker, counts once per company, and can be rescheduled once.

05Create your calling script

Your campaign script gives representatives a framework for approaching prospects and communicating your offer.

It includes:

Call opener.Value proposition.Discovery questions.Objection handling.Meeting request.Voicemail messaging.

If you already have a successful script, you can import it. Otherwise, we help establish the initial structure around your offer and target buyer.

06Add training and audition questions

You provide training materials, questions representatives must answer during their campaign audition, and a short quiz about your product or service.

This gives you an opportunity to evaluate whether someone understands your offer before they represent your business.

Representatives must complete the required training and pass your campaign quiz before making their first call.

07Set your meeting price

You choose what you're willing to pay for each qualified meeting, anywhere from $150 to $2,500.

Setup suggests a starting price based on your customer acquisition cost, close rate, and the platform fee.

The basic calculation is:

Break-even meeting price = Customer acquisition cost × Close rate

For example, if your customer acquisition cost is $2,000 and you close 20% of qualified first meetings, your initial break-even meeting value is $400.

Setup then takes the platform fee into account by spreading it across your expected meetings for the month. At 20 meetings a month, for example, the platform fee with two representative seats ($1,000) works out to $50 a meeting, so the suggested starting price is $350.

Your chosen meeting price is visible to you before launching. A higher price can make a campaign more attractive to experienced representatives.

08Upload or source your leads

You can upload an existing prospect list in CSV or Excel format.

You'll also provide a suppression list containing customers, open opportunities, partners, opt-outs, and any other contacts or companies that should not be called.

If you need a prospect list built for you, lead sourcing is available as a separately scoped service.

09Connect your booking calendar

Add your calendar booking link so representatives can schedule qualified meetings directly.

You can use one calendar for your entire team or provide individual booking links for different account executives.

10Review and launch your campaign

Once your campaign is configured, save a payment method.

Nothing is charged when you initially launch. Billing begins after your first representative is approved.

11Review applicants and select your representatives

Representatives can request approval to join your campaign.

For each applicant, you can review:
Recorded audition answers.
Campaign quiz results.
Experience and background.
Performance level.
Previous campaign track record.

You approve the representatives you want working on your campaign, and our team provides final approval.

Once approved, representatives complete your training and pass your campaign quiz before making their first calls.

Our goal is to have campaigns live within approximately 72 hours after setup is complete and representatives are approved. Actual meeting volume and timing depend on the campaign and market.

How our appointment setters are vetted

The quality of your appointment setting service depends heavily on the people making calls.

We don't simply allow anyone to create an account and start calling for clients.

Before representatives can apply to campaigns, they complete a vetting process.

Written applicationRepresentatives submit their experience, background, and resume.
Recorded auditionApplicants complete a practice campaign audition that includes a pitch and objection-handling exercise.
Live group interviewApplicants participate in a 60-minute Google Meet session where they make a live practice call in front of the group and receive feedback from a manager.

Our team reviews the applicants and decides who is approved to join the marketplace.

Approved representatives must also acknowledge the rep handbook, including calling rules, conduct expectations, and data requirements, and sign a representative agreement.

Representative performance levels

Representatives progress through three performance levels:

StarterProElite

Progression is based on factors such as qualified meetings held, show rate, call quality, and dispute history.

You can see a representative's level when reviewing campaign applicants.

Managers also review recorded calls and provide coaching to help representatives improve their performance.

No-shows, meeting disputes, and quality control

A booked appointment isn't automatically a billable meeting.

You only pay for meetings that meet your agreed qualification requirements and actually take place.

If a prospect doesn't attend, you aren't charged. The representative may attempt to reschedule the meeting, and you pay only if the rescheduled meeting takes place.

If your own team cancels or misses the meeting, it counts as held.

How meeting disputes work

You have until 11:59 PM Eastern on the next business day after a meeting to report a no-show or dispute its qualification. Weekends and federal holidays don't count.

To submit a dispute:

  1. Select the reason the meeting did not qualify.
  2. Provide a short explanation.
  3. Our team reviews the recorded call against your campaign criteria.
  4. A decision is made within two business days.

You aren't charged while a meeting is under review. Meetings that fail to meet the agreed qualification requirements aren't charged.

This process gives both the client and representative a consistent standard for evaluating meeting quality.

Compliance and calling safeguards

Outbound calling requires consistent rules and oversight.

Our calling dialer includes safeguards designed to enforce campaign calling requirements.

These include:
Do Not Call list screening before calls.
Calling-hour restrictions based on the prospect's local time.
Stricter calling-hour restrictions where required.
A maximum of three calls to the same number per day.
A recording notice on every call.
Suppression lists and never-call company exclusions.

Contacts who request not to be called are added to the permanent suppression process.

Client lead lists remain the client's property. Representatives cannot copy, export, or reuse client data outside Intentional Outreach. Misuse of client data can result in termination of a representative's agreement.

These safeguards support compliant campaign operations, but businesses remain responsible for ensuring their campaigns, data, and practices meet applicable legal requirements.

B2B appointment setting pricing

Intentional Outreach uses a transparent two-part pricing structure.

Pricing componentCostWhat it covers
Monthly platform fee$500/monthDialer, recording, scripts, compliance rules, management and reporting
Active representative fee$250/rep/monthEach active representative on your campaign
Qualified meeting price$150–$2,500Set by you, per qualified meeting held

Your meeting price is your decision. Setup suggests a starting point using your customer acquisition cost, close rate, and the platform fee, but you control the final amount.

Meeting charges are billed weekly, and only for meetings that have been held and haven't been disputed.

There are no long-term contracts. You can pause or cancel your campaign without committing to an extended agreement.

Representatives do not see what you pay per meeting.

For a more detailed explanation of how to calculate your meeting price, see our guide to appointment setting costs.
